Manage roles and permissions
Two kinds of people exist in WeLink: collaborators (who receive signatures and pages, no login needed) and members (who log in to manage the organization). Roles apply to members. Getting them right keeps sensitive actions — billing, deletion — in the right hands.
The three roles
Owner — full access to the organization: manages members, settings and billing, and is the only role that can delete the organization.
Admin — manages collaborators, WeLink settings and configurations, and can invite members. No access to organization deletion.
Member — read-only access: can view collaborators and WeLink Pages, but cannot modify settings.
Rule of thumb: one or two Owners, Admins for whoever maintains signatures day to day (HR, marketing, IT), Member for anyone who only needs visibility.
Invite a team member
- 1Open your organization's team settings and click "Invite member".
- 2Enter their email address and choose the role (Administrator or Member).
- 3Optionally link the invitation to an existing collaborator — their email is pre-filled and the two records stay connected.
- 4Send. The invitation arrives by email and appears under "Pending invitations", where you can resend or revoke it. Invitations expire automatically after 7 days.
Change or remove access
Safety rails built in: you cannot remove yourself, and the Owner cannot be removed by anyone else.
- 1From the members list, promote a Member to Admin (or demote an Admin) at any time.
- 2Remove a member to revoke their access — this does not delete any collaborator data.
Auditability
Sensitive actions — logins, role changes, collaborator modifications, configuration updates, data exports — are recorded in the organization audit log, which administrators can review from the settings. Audit entries are kept for 12 months.
Multiple companies or brands to manage? Each organization has its own members, roles and branding — the same account can belong to several organizations with different roles in each.
