Install your email signature in Outlook
Installing your WeLink signature in Outlook takes about three minutes: copy the signature once, paste it into Outlook's signature settings, and set it as your default. The exact menu differs between Outlook versions — pick yours below.
First, copy your signature
- 1Open your personal signature link (shared by your administrator by email), or the Signatures section of the WeLink dashboard if you manage the organization.
- 2Click "Copy signature". The formatted signature — logo and colors included — is now in your clipboard.
Always use "Copy signature" rather than copying the preview by hand: it preserves the exact HTML formatting for email clients.
New Outlook (Windows & Mac) and Outlook on the web
- 1Open Settings (gear icon) → Mail → Compose and reply.
- 2Under Email signature, click "+ New signature" and give it a name (e.g. "WeLink").
- 3Click inside the editing area and paste (Ctrl+V / Cmd+V).
- 4Below the editor, select your new signature as the default for "New messages" — and for "Replies/forwards" if your organization uses a reply signature.
- 5Click Save.
Classic Outlook for Windows
- 1Go to File → Options → Mail and click "Signatures…".
- 2Click "New", name the signature, then paste (Ctrl+V) into the editing area.
- 3Under "Choose default signature", pick it for New messages (and Replies/forwards if wanted).
- 4Confirm with OK.
Legacy Outlook for Mac
- 1Open Outlook → Settings (Cmd+,) → Signatures.
- 2Click "+", name the signature and paste (Cmd+V) into the editor.
- 3Set it as default for new messages and replies, then close the window.
Verify the result
- 1Compose a new email — the signature should appear automatically.
- 2Send yourself a test message and check the logo, colors and links.
On Microsoft 365, your IT admin can skip all of this: WeLink deploys and updates signatures automatically, and the WeLink Outlook add-in keeps the right signature one click away. See the add-in installation guide.
Signature not rendering as expected? Copy it again from WeLink and re-paste — never retype or edit it inside Outlook, formatting is easily lost.
