Install the WeLink add-in for Outlook
The WeLink add-in puts your signatures directly inside Outlook — New Outlook on Windows and Mac, classic Outlook, and Outlook on the web. No copy-paste: the add-in inserts the right signature automatically when composing, always in its latest version, and lets each collaborator switch between the templates your organization provides.
What you need
A Microsoft 365 mailbox (the add-in platform is not available for standalone POP/IMAP accounts), and a WeLink organization with at least one published signature template. For organization-wide deployment you also need Microsoft 365 admin access.
Deploy it for the whole organization (recommended)
Centralized deployment installs the add-in for everyone at once — nobody has to do anything on their machine.
- 1Sign in to the Microsoft 365 admin center as an administrator.
- 2Go to Settings → Integrated apps and choose to deploy an add-in.
- 3Add the WeLink Signatures add-in — from AppSource once listed, or with the manifest provided by WeLink (contact support@wecode.swiss if you don't have it).
- 4Choose who gets it: the whole organization or specific groups.
- 5Confirm. Microsoft rolls it out to Outlook clients — allow up to a few hours for it to appear everywhere.
Start by deploying to a small pilot group, verify the signature insertion on your Outlook versions, then extend to everyone.
Using the add-in as a collaborator
- 1Compose a new email in Outlook. Your WeLink signature is inserted automatically.
- 2To switch templates (e.g. a campaign or language variant), open the WeLink add-in from the ribbon or the apps menu in the compose window.
- 3Pick the signature to use — it replaces the current one in the draft, and your default choice is remembered.
When your administrator updates a template — new logo, new banner — you have nothing to do: the add-in always inserts the latest version.
Which Outlook versions are covered?
New Outlook for Windows, New Outlook for Mac, Outlook on the web, and classic Outlook for Windows on Microsoft 365. This notably covers New Outlook on Mac, where classic roaming-signature deployment does not reach.
